How RMD facilitated Alice's content management with Zapier and Webflow

At RMD, we are constantly looking for solutions that simplify processes and empower our clients. A notable example is the project developed for Alice, where we implemented some integrations between Google Sheets, Zapier and Webflow, allowing Alice's team to manage the site's content in an agile and uncomplicated way.
The Challenge
Alice's team needed a practical way to update the site's content without relying directly on the Webflow platform. The team's familiarity with spreadsheets was a strong point, and we wanted to take advantage of this to make the content editing process easier.
The solution: integration with Zapier
We used Zapier to create a bridge between Google Sheets and Webflow. This integration allows any changes made to the spreadsheet to be automatically reflected on the website. This way, Alice's team can:
Update texts, images, links and other content directly in the spreadsheet.
Create and edit publication categories via the spreadsheet.
Avoid having to access Webflow for every small edit.
No need to create a new access for each person on the team, saving the company money on the monthly Webflow fee.
Keeping the site up to date with minimal effort.
This approach not only simplified the workflow, but also reduced the learning curve, since the team was already used to working with spreadsheets.
Benefits of integration
Efficiency: Significant reduction in the time spent updating the site.
Autonomy: Alice's team gained independence to manage content.
Scalability: The solution can be easily adapted to other sections of the site or even to other projects.
How we use Zapier in practice
The team updates the content in the Google Sheets spreadsheet.
One of the rows in the spreadsheet automatically updates with the date and time that the last edit in the current row took place, regardless of which field was edited.
Zapier detects the trigger on the update date and starts the flow.
At the start of the flow, we connect to Webflow via API to read all the data available in the collection we want to use.
We create a filter to find out whether that content already exists in Webflow or not.
Finally, Zapier creates or updates the information contained in Webflow, according to the item's ID.
This process is continuous and takes place in real time, ensuring that the site is always aligned with the latest updates made by the team inside the spreadsheet.
